Clerked

AI clerks that run your AP, inside Epicor Kinetic.

Clerked's AI clerks work on top of Epicor Kinetic. They find invoices in your inbox, match every line to the PO and receipt, catch billing errors before you pay them, and draft replies to suppliers. Kinetic stays the system of record.

Billed to the packing slip line

Each invoice line is matched to its PO line and the receipt line it came in on, from a warehouse receipt or a drop shipment. Only the packing slip lines the invoice covers are billed, so the rest of the slip stays open.

Every Epicor company, one queue

Invoices from every mailbox, for every company you run in Kinetic, land in one queue, and each line is coded to that company's GL accounts and segments. Freight and fuel surcharges with no PO line get GL lines of their own.

Under a month to go live

On Epicor, our average customer goes live in under a month, and our integrations never take longer than two months. For Litco, Clerked runs invoice intake, GL coding and 3-way PO matching into Epicor, across several companies and sites.

How it works

Kinetic keeps the ledger, and AP around it is usually still done by hand: someone reads the AP inbox, keys each invoice into AP Invoice Entry, picks the packing slip lines it bills, and works out why a price doesn't agree with the PO. The clerks do that job themselves, on top of Kinetic, and your team works only the exceptions that need a person.

On Kinetic, the hard invoices start with purchasing and receiving: a receipt entered after the invoice, a supplier billing in board feet against a PO by the each, freight and fuel surcharges with no PO line, drop shipments, and invoices that cover part of a packing slip. Each is matched against what Kinetic holds, and anything that doesn't agree is held with its reason and sent to the buyer, receiver or controller who can answer it.

Invoices go into Epicor Kinetic as AP invoices, coded by line. Nothing posts until it's approved, whether approvals happen in Clerked from email or in Epicor Kinetic itself. Epicor Kinetic stays the system of record, so nothing is migrated or replaced.

  • Reads suppliers, POs, receipts, drop shipments, parts, GL accounts, segments and terms from Kinetic

  • Learns your coding from the AP invoices your team has already posted in Kinetic

  • Invoices in a different unit of measure than the PO matched on value, within your tolerance

  • A receipt line already billed on another Kinetic invoice held before it can be billed twice

  • Supplier replies drafted from your Kinetic data, and a person reviews and sends each one

We helped Litco stop keying invoices into Epicor by hand and coding every line manually.

Security and control

  • Nothing is written to Kinetic until the invoice has passed every approval your rules call for.
  • Approvals start with a person, and approvers can answer from email with no login.
  • Each invoice is checked again just before it's written to Kinetic, and one that wouldn't post cleanly is held for your team.
  • Approved invoices go to whatever pays them today.
