Clerked

AI clerks that work your AP inbox in Gmail.

Clerked's AI clerks work the AP inbox your team keeps in Gmail. They find the invoices, match every line to the PO and receipt in your ERP, catch billing errors before you pay them, and draft replies to vendors for your team to send. Your ERP stays the system of record.

Invoices found in every email

The clerks open every email and attachment, find the invoices, and split a PDF that holds several into one each. Statements, remittance advice and W-9s are sorted from the bills, and anything unclear goes to a person.

Replies drafted from your ERP

Where's-my-payment emails, remittance requests and statements get a reply drafted from your ERP data, with the sources it used. A person reviews and sends it, and a copy lands in your Gmail inbox.

One routing rule, no Gmail login

Your Google Workspace admin adds one routing rule that copies AP mail to Clerked, and a test email confirms it works. Mail still lands in Gmail, and Clerked never signs in to your account.

How it works

There's nothing to install and no Gmail login to share. Your Google Workspace admin adds one routing rule in the Admin console that copies mail sent to your AP address to Clerked, and mail keeps arriving in Gmail as it does today. A test email to your AP address confirms the rule works before anything depends on it.

A shared AP inbox fills with mail that isn't a clean invoice: a PDF holding several bills, a packing slip sent as its own file, a statement to check, a where's-my-payment email, a request to change bank details. The clerks sort each one, draft the reply from your ERP data and flag a bank-detail change for your team to verify by phone. Your team can approve, route an exception, teach the clerks a rule or ask for a report from Gmail, with no login.

  • Reads every email and attachment your Gmail routing rule copies to Clerked

  • A PDF holding several invoices split into one invoice each, with packing slips kept as backup

  • Statements checked line by line against your records, with copies asked for what isn't on file

  • Vendor replies drafted from your ERP data, and a person reviews and sends each one

  • Every AP mailbox in one queue, and an email that reaches two of them read once

Security and control

  • Nothing is written to your ERP until the invoice has passed every approval your rules call for.
  • Approvals start with a person, and approvers can answer from email with no login.
  • No email goes to a vendor until a person on your team reviews and sends it, and the sender can undo it before it leaves.
  • Approved invoices go to whatever pays them today.
