Clerked

AI clerks that run your AP, inside QuickBooks Desktop.

Clerked's AI clerks work inside QuickBooks Desktop. They find invoices in your inbox, match every line to the purchase order and item receipt, catch billing errors before you pay them, and draft replies to vendors. QuickBooks Desktop stays the system of record.

Matched to the item receipt

Each bill line is matched to its purchase order line and to what came in on the item receipt. A line billed for more than was received waits for the rest, and a price above the PO or freight nobody approved is held with the reason.

Coded to class and job

Each line is coded to the account, class and job it belongs to, the way your team codes it in QuickBooks today. The clerks learn from your past bills before go-live, and every correction becomes a memory you can read, edit or delete.

Under a week to go live

On QuickBooks, our average customer goes live in under a week. We need an inbox forward, your user list and access to QuickBooks Desktop.

How it works

Nothing about your books changes. Your company file, chart of accounts, classes and jobs stay as they are, and approved bills go to whatever pays them today, whether that's Pay Bills in QuickBooks or your bank. AP doesn't have to wait for a bigger ERP.

QuickBooks keeps the books, and the AP work around it is still done by hand: someone reads the AP inbox, keys each bill into Enter Bills, codes every line and checks it against the item receipt. For a distributor, manufacturer or contractor on QuickBooks Desktop, that work is mostly exceptions: a partial shipment, a price above the PO, freight nobody approved, a bill sent twice, an invoice with no PO number. The clerks hold each one with the reason and send it to the person who owns it, so your team only works the exceptions that need a person.

Invoices go into QuickBooks Desktop as bills, coded by line. Nothing posts until it's approved, whether approvals happen in Clerked from email or in QuickBooks Desktop itself. QuickBooks Desktop stays the system of record, so nothing is migrated or replaced.

  • Reads vendors, items, accounts, classes, jobs, purchase orders and item receipts from QuickBooks Desktop

  • Each bill line checked against the item receipt, so you don't pay for goods that haven't arrived

  • Duplicate bills caught even when a vendor resends one under a slightly different number

  • Approvals routed by amount, vendor, class or job, and answered from email, phone, Slack or Teams

  • Vendor replies drafted from your QuickBooks data, and a person reviews and sends each one

Security and control

  • Nothing is written to QuickBooks until the invoice has passed every approval your rules call for.
  • Approvals start with a person, and approvers can answer from email with no login.
  • Each invoice is checked again just before it's written to QuickBooks, and one that wouldn't post cleanly is held for your team.
  • Approved invoices go to whatever pays them today.
