Clerked

AI clerks that run your AP, inside Workday.

Clerked's AI clerks work inside Workday. They find invoices in your inbox, match every line to the PO and receipt, catch billing errors before you pay them, and draft replies to suppliers. Workday stays the system of record.

Match exceptions worked up front

Each line is matched to its PO line and receipt before the invoice reaches Workday. A unit cost above the PO, a short receipt or a quantity in a different unit of measure goes to the buyer or requester, with the reason.

Coded to spend category and worktags

Each line, including lines with no PO, is coded to the spend category and worktags your team would choose, learned from your supplier invoice history. Every correction becomes a memory you can read, edit or delete.

Under 2 months to go live

We integrate with Workday directly, and you can expect to go live in under 2 months. We need an inbox forward, your user list and access to Workday.

How it works

Workday checks each supplier invoice against your match rules and holds one with a match exception until someone works it. Even on Workday, AP usually works those by hand: confirming a quantity with the buyer, checking a unit cost against the contract price, waiting on a receipt or asking the supplier for a credit. Clerked works those cases before the invoice reaches Workday and sends each one to the buyer or requester who can answer it, with the reason attached.

In Workday, each line is coded to a spend category and worktags, so a line with no PO still needs someone to choose the company, cost center, project, grant or fund it belongs to. The clerks learn how your team codes each supplier from your invoice history, and every correction becomes a memory in plain English that you can read, edit or delete.

Invoices go into Workday as supplier invoices, coded by line. Nothing posts until it's approved, whether approvals happen in Clerked from email or in Workday itself. Workday stays the system of record, so nothing is migrated or replaced.

  • Reads suppliers, POs, receipts, companies, spend categories and worktags from Workday

  • Every company in your Workday tenant in one queue, coded to the worktags that company uses

  • Approvals kept in Workday's Supplier Invoice business process, if that's where they run

  • Price increases, freight overcharges and duplicate invoices caught before you pay them

  • Supplier replies drafted from your Workday data, and a person reviews and sends each one

Security and control

  • Nothing is written to Workday until the invoice has passed every approval your rules call for.
  • Approvals start with a person, and approvers can answer from email with no login.
  • Each invoice is checked again just before it's written to Workday, and one that wouldn't post cleanly is held for your team.
  • Approved invoices go to whatever pays them today.
