Clerked

AI clerks that run your AP, inside Zoho Books.

Clerked's AI clerks work inside Zoho Books. They find invoices in your inbox, code every line and match it to the PO, catch billing errors before you pay them, and draft replies to vendors. Zoho Books stays the system of record.

Every line coded and tagged

Each bill line is coded to its account and reporting tags, learned from the bills your team has already entered in Zoho Books. Every correction becomes a memory in plain English that you can read, edit or delete.

Matched to the PO by line

Each bill line is checked against its line on the PO in Zoho Books. A line priced above the PO or billed for more than was ordered is held with the reason and sent to whoever raised the order.

Under 2 months to go live

We integrate with Zoho Books directly, and you can expect to go live in under 2 months. We need an inbox forward, your user list and access to Zoho Books.

How it works

Zoho Books keeps the ledger, and the AP work around it is still manual. Someone sorts the AP inbox, keys each bill, picks the account and reporting tags for every line, and checks prices against the PO. With the BillPay add-on, Zoho Books warns you when a bill has no PO or its prices don't match, and someone still has to work out why and who should fix it.

The clerks take that work, so AP keeps up as volume grows without adding people. They hold what needs a person, with the reason: a missing PO number, a price above the PO, freight nobody approved, a duplicate invoice or an unusually large amount from a vendor. Each one goes to the person who owns the answer, and when it's the vendor's to fix, the reply is drafted for your team to send.

Invoices go into Zoho Books as bills, coded by line. Nothing posts until it's approved, whether approvals happen in Clerked from email or in Zoho Books itself. Zoho Books stays the system of record, so nothing is migrated or replaced.

  • Reads vendors, POs, items, accounts, reporting tags, locations and past bills from Zoho Books

  • Bills for every Zoho Books organization in one place, with access scoped company by company

  • Approvers answer from email, their phone, Slack or Teams, and don't need a Zoho Books user

  • Price increases, freight overcharges and duplicate invoices caught before you pay them

  • Vendor replies drafted from your Zoho Books data, and a person reviews and sends each one

Security and control

  • Nothing is written to Zoho Books until the invoice has passed every approval your rules call for.
  • Approvals start with a person, and approvers can answer from email with no login.
  • Each invoice is checked again just before it's written to Zoho Books, and one that wouldn't post cleanly is held for your team.
  • Approved invoices go to whatever pays them today.
