Clerked

AI clerks that work your AP inbox in Outlook.

Clerked's AI clerks work the AP mailbox your vendors already write to. They find every invoice, match each line to the PO and receipt, catch billing errors before you pay them, and draft replies to vendors for your team to send. Your ERP stays the system of record.

Every email opened and sorted

Each email is read the way your AP team reads it. One PDF holding five invoices is split into five, backup stays on the email instead of becoming a second bill, and a statement is checked line by line against your invoices and payments.

Vendor replies from your AP address

Where's-my-payment, remittance and missing-invoice emails get a reply drafted from your ERP and payment records. A person reviews and sends each one, from your AP address once your domain is verified.

One forwarding rule to start

IT turns on forwarding for the AP mailbox in Microsoft 365, and mail keeps arriving in Outlook as it does today. Go-live then depends on your ERP, and our integrations never take longer than two months.

How it works

Your team keeps working in Outlook. A forwarding rule sends Clerked a copy of the AP mailbox's mail, and Clerked holds no Microsoft 365 credentials and never signs in to your mailbox. Replies your team sends from Outlook can join the same conversation in Clerked, so the clerks don't draft an answer someone already sent.

The clerks also read for risk. A request to change bank details is flagged with a note to verify it by phone on the number you already hold, likely phishing gets no drafted reply, and a credit hold or collections notice is marked urgent. The first email from a sender you've never heard from waits for your team to trust or block it, unless you choose to process new senders automatically.

  • Reads every email, attachment and thread forwarded from your AP mailbox in Outlook

  • External forwarding opened for the AP mailbox only, in Microsoft 365's outbound spam filter policy

  • Replies sent from Outlook can join the Clerked conversation through an Exchange mail flow rule

  • Approvers outside finance answer approval emails in Outlook, on their desk or their phone

  • Vendor replies drafted from your ERP data, and a person reviews and sends each one

Security and control

  • Nothing is written to your ERP until the invoice has passed every approval your rules call for.
  • Approvals start with a person, and approvers can answer from email with no login.
  • Each invoice is checked again just before it's written to your ERP, and one that wouldn't post cleanly is held for your team.
  • Approved invoices go to whatever pays them today.
