AI clerks that run your AP,
inside SAP.
Clerked's AI clerks work inside SAP. They find invoices in your inbox, match every line to the purchase order and goods receipt, catch billing errors before you pay them, and draft replies to suppliers. SAP stays the system of record.
Variances sent to their owners
When a line is off the PO price or the goods receipt quantity, Clerked holds the invoice with the reason and asks the buyer or receiving, so the question is answered before the invoice reaches SAP.
Coded to the right company code
Clerked works out which company code and supplier each invoice belongs to, then codes every line to that company code's G/L accounts and cost centers, from your SAP data and your own invoice history.
1 to 2 months to go live
We integrate with SAP directly, and you can expect to go live in 1 to 2 months. We need an inbox forward, your user list and access to SAP.
How it works
Core SAP AP doesn't read the invoices in your AP inbox, so someone usually still keys each one. When a price or quantity falls outside tolerance, SAP blocks the invoice for payment, and someone has to find out why before it can be released. Clerked reads each invoice and takes the difference to the person who owns it before anything reaches SAP, and your tolerances and configuration stay as they are.
Many SAP teams run AP for several company codes from one shared service center, and the same exceptions come up in all of them: an invoice that arrives before its goods receipt, a partial delivery, freight that was never on the PO, a duplicate sent under a slightly different invoice number, or new bank details. Clerked holds each one with its reason and sends it to whoever can answer, and they reply from email, Slack or Teams, with no login.
Invoices go into SAP as supplier invoices, coded by line. Nothing posts until it's approved, whether approvals happen in Clerked from email or in SAP itself. SAP stays the system of record, so nothing is migrated or replaced.
Reads suppliers, purchase orders, goods receipts, G/L accounts, company codes and cost centers from SAP
Every company code in one queue, each coded to its own G/L accounts and cost centers
Invoices that arrive before their goods receipt held, with the question sent to receiving
Price increases, freight overcharges and duplicate invoices caught before you pay them
Supplier replies drafted from your SAP data, and a person reviews and sends each one
“Every other provider wanted to pull AP out of our ERP systems. Clerked works inside them, applying our controls and coding at a scale and speed a human team can’t. We grow transaction volumes without growing headcount.”
Security and control
- Nothing is written to SAP until the invoice has passed every approval your rules call for.
- Approvals start with a person, and approvers can answer from email with no login.
- Each invoice is checked again just before it's written to SAP, and one that wouldn't post cleanly is held for your team.
- Approved invoices go to whatever pays them today.
